How to make an invoice: the 9 elements every professional invoice needs
A complete invoice gets paid faster than a sloppy one. Here are the nine elements to include, the three mistakes that delay payment, and the free way to generate it all in under a minute.
The 9 elements, in order
- A clear header. The word INVOICE (or Tax Invoice, Receipt, Proforma) in large type, so nobody confuses it with a quote. Our app offers 11 document types in one switcher.
- Your business details. Legal or trading name, address, email, phone, and tax ID. This is who is owed the money.
- The client details. Name, billing address, and ideally email. Invoices to the wrong entity are the classic non-payment excuse.
- A unique invoice number. Sequential and never reused, e.g. INV-2026-0001. Automatic numbering beats spreadsheets here.
- Issue date and due date. State both explicitly. "Net 14" means nothing if the start date is missing.
- Itemized lines. One row per good or service: description, quantity, unit price. Vague single lines ("services rendered: $2,000") invite disputes.
- Taxes and fees. Each rate on its own line where applicable. Configurable per item in our free generator.
- The total due. One unmissable number. Our templates put it in a highlight box for a reason.
- Payment terms. How to pay (bank details, payment link), when, and what happens if late. This overlooked block is what actually gets you paid.
3 mistakes that delay payment
- Missing due date. No deadline means no urgency. Always set one.
- No payment instructions. Every extra step the client must figure out costs you days. Add bank details or a payment link directly on the invoice.
- Sending it late yourself. Invoice the day the work is accepted, not at month end. Saved clients and reusable services make a new invoice a 60-second job.
